Who we are

iComm Energy Solutions is a trading name of iComm Solutions Limited (Company No. 17004498), registered in England and Wales. Our registered office and business address is 38 Caxton House, Kings Park Road, Moulton Park, Northampton, NN3 6LG. For anything to do with this policy or your personal data, contact us at hello@icommenergy.co.uk or 01604 931 224.

We are the data controller for the personal data described in this policy.

What data we collect

We collect personal data you give us directly, mainly through:

  • Our website's "Get a Free Quote" and "Contact" forms — typically your name, phone number, email address, property address and postcode, and any details you choose to add about your property or enquiry.
  • Phone calls, emails, or in-person conversations, including at a site survey.
  • The ongoing management of your installation if you become a customer — for example survey notes, quote and contract details, and correspondence about your job.

We don't collect payment card details through this website, and we don't knowingly collect data from children.

Website usage data

This website doesn't run analytics or advertising cookies. It does use Google Fonts and an embedded Google Maps view on our Contact page, both of which are loaded directly from Google's servers — as a result, Google will receive your device's IP address when you view a page using them, under Google's own privacy policy. We don't control what Google does with that information.

How we use your data, and why

  • To respond to your enquiry and provide a quote — necessary to take the steps you've asked for before entering into a contract with us.
  • To deliver and manage your installation if you go ahead — necessary to perform our contract with you.
  • To meet our legal obligations — for example keeping records for tax and accounting purposes.
  • To keep our own records accurate and our business running properly — our legitimate interest in responding to enquiries efficiently and keeping a reliable record of our customers and jobs, balanced against your right to privacy.

We don't use your data for automated decision-making, and we don't sell your personal data to anyone.

Who we share it with

We use a small number of trusted service providers to run our business and this website, who process data on our behalf under their own data processing agreements with us:

  • Supabase — hosts the database behind our customer management system, where enquiry and job details are stored.
  • Resend — sends the automated confirmation and update emails you receive from us.
  • Netlify — hosts this website.

We may also share relevant details with subcontractors or suppliers directly involved in your installation (for example an electrician completing the connection), and where required by law, such as to HMRC or a regulator.

How long we keep it

We keep enquiry data for as long as reasonably needed to follow up with you, and customer and job records for as long as we have an ongoing relationship with you, plus a further period afterwards to meet our legal, accounting, warranty and insurance obligations — commonly six years, in line with standard UK record-keeping requirements. If your enquiry doesn't turn into a booked job, we won't keep your details indefinitely.

Your rights

Under UK GDPR, you have the right to:

  • ask us for a copy of the personal data we hold about you;
  • ask us to correct anything that's inaccurate or incomplete;
  • ask us to delete your data, or restrict how we use it, in certain circumstances;
  • object to us processing your data where we rely on legitimate interests;
  • ask us to provide your data in a portable format; and
  • complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113 if you're unhappy with how we've handled your data.

To exercise any of these rights, just email hello@icommenergy.co.uk.

Keeping your data secure

We use reputable, UK/EU-facing service providers and take reasonable technical and organisational steps to protect your data against unauthorised access, loss, or misuse. No system is completely infallible, but we take this seriously.

Changes to this policy

We may update this policy from time to time, for example as our services or the providers we use change. The date at the top shows when it was last updated.
